What we do with your information.

This website does not keep track of its readers. Below is what the association does hold, why it holds it, and what you can ask of us.

The association, not the website

Doctors on Mission is a Belgian non-profit association. It decides which personal information is handled around the mission and through this website, which makes it the controller under the General Data Protection Regulation.

Gifts sent to the Netherlands account are received by Stichting Zending & Gemeente – Doctors on Mission. For those gifts the Dutch foundation holds the payment record, and its own bank and tax rules apply.

This site places none

Reading these pages sets no cookies and stores nothing on your device. There is no advertising network and no social media script. The typefaces are served from our own server, so opening a page does not open a connection to anyone else.

We do count visits. Cloudflare Web Analytics records that a page was opened, which page it was, roughly which country the request came from, and which site you arrived from. It sets no cookie, writes nothing to your device, does not recognise you and does not follow you to other sites. We use it to see which field reports are read.

That is why you will not find a cookie banner here. Permission is asked for what a site stores on your device, and this one stores nothing.

Two things sit outside that. A field report may carry a video, which is held at Vimeo and loads only when you press play. From that moment Vimeo can place the cookies its player needs to run safely and can see your IP address. If you do not press play, nothing is loaded. The player is set to do-not-track, so Vimeo does not gather viewing data for statistics or advertising.

The buttons on the giving page hand you over to PayPal or to your own bank. What happens there falls under their privacy terms rather than ours.

Separately, our hosting provider keeps technical server logs, which include IP addresses, to run and protect the server. Those logs are not used to follow visitors.

Three small sets of information

The quarterly letter. If you asked to receive it, we hold the email address you gave us, and your name when you gave that too.

Gifts. When you give, our record shows the name on the transfer, the account it came from, the amount and the date. That record reaches us from the bank or from PayPal. We never see your card details.

Email and the contact form. When you write to Rik, the message and address stay in the mailbox for as long as the conversation needs. A message sent through the contact form is also kept on the website's server, so it cannot be lost on its way to him.

A Belgian tax certificate legally requires your national register number. We do not ask for that number through this website and we do not want it by email. The certificate is arranged with the association directly.

Consent, the law, and running the mission

The letter is sent on the basis of your consent, which you can withdraw at any time. Every letter carries a way to stop receiving it, and one email to the address above is enough.

Gift records are kept because Belgian bookkeeping and tax law require them.

Correspondence and supporter administration rest on the association's legitimate interest in answering you and in keeping an accurate account of the work.

We do not sell information and we do not share a supporter list with other organisations.

Kept for a stated period

Your address stays on the letter list until you ask to come off it.

Gift and accounting records are kept for seven years, the period Belgian law sets.

Email, and the copy of a contact-form message, is kept while the question is open and cleared out afterwards.

The parties that make this work

Our hosting provider runs the server. Cloudflare counts the visits and screens the forms against abuse. Mailchimp sends the quarterly letter. PayPal, Belfius and ING handle payments and report them to us. Vimeo serves a video once you press play.

Parties working on our behalf are held to a written agreement on how they treat your information, and may use it for nothing else.

Some of them operate outside the European Union. They may handle your information only under an adequacy decision of the European Commission or under the European standard contractual clauses.

What you can ask for

You can ask to see what we hold about you, to correct it, to have it deleted, to limit what we do with it, to receive a copy, to object to its use, and to withdraw a consent you gave earlier. One email is enough, and we answer within a month.

If our answer does not satisfy you, you can complain to the Belgian Data Protection Authority. Readers in the Netherlands may also approach the Autoriteit Persoonsgegevens.

Dated, so you can see what moved

When this notice changes, the version and the date at the foot of the page change with it. Nothing on this page applies retroactively to information we no longer hold.
